1. Who we are
AutoProp AI Ltd operates the autoprop.ai service for UK letting agencies. The product includes an AI letting agent, dashboards and integration APIs used to progress enquiries, viewings and related agency administration.
2. Data we collect
- Account data: name, business email, phone number and agency metadata.
- Operational data: enquiries, viewing requests, repair updates, messages, outcomes and task history.
- Integration data: encrypted tokens or API credentials needed to connect approved inboxes, calendars and CRM systems.
- Marketing data: demo requests, contact forms, newsletter signups and attribution data.
3. How we use data
We use data to provide the service, send operational communications, support connected integrations, maintain audit records, troubleshoot issues, improve product performance and contact you about Autoprop where you have asked us to do so.
4. Legal bases
We process personal data under UK GDPR Article 6(1)(b) for contract performance, Article 6(1)(c) for legal obligations, Article 6(1)(f) for legitimate operational interests, and Article 6(1)(a) for optional marketing consent.
5. Retention
Operational records are retained only for as long as needed to provide the service, evidence work completed and meet legal or contractual obligations. Credentials are revoked or deleted when a connection is removed or an account is closed.
6. Sharing
We share data only with subprocessors required to deliver the service, such as cloud hosting, messaging, email, payment and approved integration providers. We do not sell personal data.
7. Cookies and analytics
Essential cookies keep the site and app secure. Optional analytics and marketing tools load only after consent through the cookie banner, where required by UK PECR and GDPR rules.
8. Your rights
You can request access, correction, deletion, restriction, objection or export of your data by emailing privacy@autoprop.ai. You can also complain to the Information Commissioner's Office at ico.org.uk.
